This notice explains how Swim Lapland collects, uses, and protects your personal data when you visit our website or get in touch with us.

1. Who we are Swim Lapland is a guided open water swimming holiday business based in Ivalo, Finland, currently in the process of incorporation.

2. What personal data we collect

We collect personal data when you submit an enquiry through the contact form on our website.

This may include:

● Your name

● Your email address

● Any other details you choose to share

3. How we use your data

We use the personal data you send us to:

● Respond to your enquiry about our swimming holidays

● Provide information about availability, pricing, and booking once our first season is confirmed

● Keep a record of our correspondence with you, for our own reference

We do not use your data for automated decision-making or profiling.

4. Our legal basis for processing

We process your data on the basis of:

● Consent — you have voluntarily contacted us and provided your details

● Legitimate interest — responding to enquiries and managing correspondence in the ordinary course of running our business, in a way that does not override your rights and interests.

You may withdraw your consent at any time by contacting us; this will not affect the lawfulness of anything we did with your data before you withdrew it.

5. How long we keep your data

We keep correspondence and enquiry details for as long as reasonably necessary to respond to you and to maintain a record of interest in our holidays — and no longer than is necessary for that purpose. Form submissions are stored in our Squarespace account until we delete them. If you ask us to delete your data, we will do so unless we have a legitimate reason to retain it (for example, an ongoing booking).

6. Website hosting and cookies

Our website is built and hosted on Squarespace, and our contact form is powered by Squarespace’s built-in form tool. When you submit the form, your details are sent to us by email and also stored in our Squarespace account until we delete them. Squarespace may set essential cookies required for the site to function, and may collect basic, non- identifying analytics about site visits (such as page views).To limit the personal data shared with third parties, we self-host our website fonts rather than loading them from external font providers. We do not currently run advertising or marketing cookies, and we do not use third-party CRM tools.

7. Sharing your data

We do not sell your personal data, and we do not share it with third parties for their own marketing purposes.

Your data may be processed by:

● Our email provider, to send and receive correspondence

● Squarespace, Inc.- as our website host and form provider Squarespace is based in the United States. Where your data is transferred outside the UK/EEA, we rely on the safeguards Squarespace has in place, such as the EU–US Data Privacy Framework or standard contractual clauses, to ensure your data remains protected.

8. Your Rights

Under GDPR, you have the right to:

● Access the personal data we hold about you

● Correct inaccurate or incomplete data

● Delete your data, in certain circumstances

● Restrict or object to our processing of your data

● Receive a copy of your data in a portable format

● Withdraw consent at any time, where consent is our basis for processing

To exercise any of these rights, contact us at hello@swimlapland.com You also have the right to lodge a complaint with a supervisory authority. In Finland, this is the Office of the Data Protection Ombudsman (tietosuoja.fi).

9. Children’s data

Swim Lapland’s holidays and website are directed at adults. We do not knowingly collect personal data from children.

10. Changes to this notice

We may update this privacy notice from time to time, particularly as our booking and payment systems develop ahead of our first season in 2027. The date at the top of this page will show when it was last updated.
